North East Fife Basketball Club – Policies & Procedures (Interim Version)
Effective July 2025
North East Fife Basketball Club is a developing community-based sports club led by Coach Shayne Penn, supported by young volunteer coaches. The following simplified policies outline our commitment to running safe, inclusive, and positive basketball sessions.
1. Grievance & Concerns Procedure
We aim to handle concerns fairly and openly.
Step 1 – Speak to Coach Shayne: If you have a concern, please speak to Shayne directly at the session or via email at coach@nefbasketball.co.uk.
Step 2 – Written Concern (if unresolved): If you feel the issue needs to be put in writing, please email Shayne.
Step 3 – Resolution: Shayne will respond within 7 days and aim to resolve the issue quickly and fairly. Where needed, an external coach or neutral contact may be asked to help.
2. Disciplinary Procedure
We promote positive behaviour and teamwork. If behavioural issues arise:
Players will be reminded of expectations and given a chance to reflect.
Persistent or serious issues (e.g. bullying, aggression) may result in temporary or permanent exclusion from sessions.
Parents will always be contacted in these situations.
Appeals can be made directly to Shayne via email.
3. Equality & Inclusion Statement
NEF Basketball is open to all children, regardless of gender, background, ability, or experience.
Sessions are designed to be accessible and inclusive.
We will make reasonable adjustments where possible to support additional needs.
Discriminatory behaviour will not be tolerated.
4. Health & Safety
All sessions are risk assessed by Shayne before they begin.
A basic first-aid kit is available at every session.
Shayne is trained in first aid and emergency procedures.
Parents/guardians must share any relevant medical info at registration.
In an emergency, emergency contacts provided will be used.
5. Data & Privacy (GDPR Lite)
Basic data (child's name, DOB, emergency contacts, medical info) is collected for registration and safety.
This information is stored securely and only used by Shayne for club-related purposes.
Photos/videos may be taken during sessions—parents will be asked for consent during registration.
No child will be named in social media posts without express permission.
6. Coach Qualifications
Shayne is a qualified PE teacher and holds appropriate coaching certifications, first aid, and safeguarding training.
All junior coaches are supervised and either PVG-checked or undergoing the process.
Volunteers will not be left alone with players and receive basic safeguarding guidance.
7. Safeguarding
The welfare of children is the club’s top priority.
Any concerns about child safety or wellbeing should be raised immediately with Shayne.
All safeguarding concerns will be taken seriously and acted on in line with local guidelines.
8. PVG & Volunteers
All adults working regularly with children will be PVG-checked.
Shayne maintains a log of checks and ensures volunteers understand their responsibilities.
9. Bullying & Respect Policy
The club promotes kindness, teamwork, and fair play.
Bullying of any kind (verbal, physical, online) will be addressed immediately.
Players will be reminded regularly of the importance of being respectful teammates.
10. Basketball Scotland Registration (Future Policy)
As the club grows, players may be asked to register with Basketball Scotland for insurance and competition purposes.
Parents will be notified in advance if this becomes required.
