NEF Basketball is a community sports club run by Shayne Penn. We deliver basketball coaching sessions for young people across North East Fife.

For Players (via registration):

  • Child’s name, age/DOB, and school year
  • Parent/guardian name and contact information

For Volunteers:

  • Name, contact details
  • PVG check status and safeguarding info

3. Why We Collect This Data

We collect data to:

  • Register children for basketball sessions
  • Communicate with parents/guardians
  • Keep children safe during sessions (e.g. medical info, emergency contact)
  • Comply with safeguarding, health & safety, and child protection obligations
  • Promote the club (where consent has been given for photos)
  • Manage and confirm payments/bookings

4. How We Store and Protect Your Data

  • All data is stored securely, either on password-protected devices or in secure online forms (e.g. Google Forms).
  • Access is limited to Shayne Penn and authorised volunteers.
  • Paper forms (if used) are kept securely and destroyed when no longer needed.
  • We do not share your personal information with third parties unless legally required to do so.

5. Photography & Media Consent

  • Photos and short video clips may be taken during sessions for promotional purposes (e.g. social media, website).
  • No names or personal details will be shared alongside media content.
  • You have the right to opt out at any time—just let us know by email.

  • Access the personal data we hold about you or your child
  • Request correction or deletion of your information
  • Withdraw consent (e.g. for photography or communications) at any time

  • We keep registration and emergency contact details only for as long as necessary to run the sessions your child is signed up for.

8. Payments & Third-Party Services

  • If using PayPal or bank transfer for payment, please refer to their individual privacy policies.
  • NEF Basketball does not store payment card details.
